Privacy Policy

This policy explains how english@kawkabMs ("Kawkab Ms", "we", "us") — Pre O-Level, O Level and A Level English classes with Kawkab Saadia in Dhaka, Bangladesh — collects, uses and protects information about our students and their parents or guardians. It covers this website (www.kawkabms.com), the Student Portal (portal.kawkabms.com), our staff system, and the messages we send by WhatsApp and email.

In short: we collect only what we need to teach, keep fee records and stay in touch with families. We never sell your information and never use it for advertising.

1. Information we collect

Student details: name, student ID, date of birth, gender, blood group, religion (if given), present and permanent address, email, and notes needed for teaching or safety.
Family contacts: parents' or guardians' names, phone numbers and professions, and which number we should contact.
Classes: centre, batch, level, start and end dates, and attendance-related notes.
Fees and payments: fee amounts, payments, discounts and scholarships, receipt numbers, how a payment was made (cash, bKash or bank) and the bKash transaction ID or bank reference. We never ask for or store card numbers or bKash PINs.
Results: test marks, grades and teachers' comments.
Messages: a record of the WhatsApp messages we send (the phone number, which message, and whether it was delivered or read).
If you contact us or join our newsletter: your name, email or phone number and your message.

2. How we use it

To enrol students, run classes and keep attendance and results.
To keep accurate fee records, issue receipts and remind families of dues.
To send parents and students receipts, due reminders, test results, notices and birthday wishes.
To let students see their own classes, receipts, results and notices in the Student Portal.
To send our monthly newsletter, only if you subscribed. You can unsubscribe at any time from the link in each email.

3. WhatsApp messages

We send receipts, fee reminders and test results to the contact number you gave us, using the WhatsApp Business Platform provided by Meta. Only the information needed for that message (for example the student's name, amount and receipt number, or marks and grade) is sent. Meta processes these messages under its own terms and privacy policy. If you do not want WhatsApp messages from us, tell us and we will stop; you can still collect receipts and results from the centre or the Student Portal.

4. Who can see your information

Our staff, each only as far as their job needs. Centre managers see students of their own centres. Every change to student and payment records is logged.
The student and family, through the Student Portal, after signing in with the student ID, a registered phone number and the date of birth.
Service providers that run our systems for us: Supabase (secure database), Cloudflare (website hosting and email forwarding), Google (backups and email), Meta (WhatsApp messages) and Brevo (newsletter). They may store data on servers outside Bangladesh and may use it only to provide their service to us.
Authorities, only if the law requires it.

We do not sell, rent or share your information for marketing.

5. Cookies and your device

We do not use advertising or tracking cookies. The Student Portal may remember your sign-in on your own device if you tick "Remember me on this device", and remembers your light or dark display choice. You can clear these at any time with "Forget" in the Portal or by clearing your browser data. Our pages load fonts from Google Fonts.

6. How we protect it

Information is sent over secure (HTTPS) connections and stored in a protected database. Staff sign in with their own accounts (with optional two-step login), and access is limited by role. Every change to payment records is logged, so a full history remains. We take regular backups.

7. How long we keep it

We keep student and family details while the student studies with us and afterwards for as long as needed for our records, results and accounts. Payment records are kept for accounting. Message records are kept to confirm what was sent. When information is no longer needed, we delete it or remove the details that identify a person.

8. Your choices and rights

Ask to see the information we hold about you or your child.
Ask us to correct anything that is wrong — most details can be fixed at the centre the same day.
Ask us to stop WhatsApp messages or the newsletter.
Ask us to delete your information. Email [email protected] with the student's name and ID, or ask at your centre. We will confirm your identity, delete what we are not required to keep (fee and payment records may need to be kept for accounting), and reply within 30 days.

9. Children

Most of our students are under 18. We collect their information from, or with the knowledge of, their parents or guardians, and use it only for their education and the running of our classes.

10. Changes to this policy

If we change this policy, we will update this page and the date at the top. Important changes will also be shared with families.
